Requirements & Scoping
We work with you to define exactly what the system needs to do — every module, user role, workflow, and edge case. A clear spec upfront means no surprises during the build.
Built exactly for your business.
Off-the-shelf software rarely fits perfectly. We build custom systems tailored exactly to how your business operates — inventory tools, booking platforms, payroll systems, staff management, and more.
No hidden extras. Here is exactly what every system build covers.
We work with you to define exactly what the system needs to do — every module, user role, workflow, and edge case. A clear spec upfront means no surprises during the build.
We design a clean, efficient MySQL database schema that stores your data reliably and can scale as your business grows. Relationships, indexes, and data integrity handled from day one.
The logic that drives the system — user authentication, data processing, business rules, and API endpoints — built in PHP or Python, tested thoroughly before handover.
A clean, practical interface your team will actually find easy to use. We design for clarity and efficiency — not just aesthetics — because your staff will be using this every day.
Different people in your organisation need different levels of access. We build role-based access control so admins, managers, and staff each see only what they need to.
We don't just hand over the code and disappear. We train your team on how to use the system, provide documentation, and stay available for a post-launch support window to handle anything that comes up.
Every system is bespoke, but here are the kinds of projects we work on most often.
Track stock levels, record purchases and sales, set low-stock alerts, and generate stock reports. Built for shops, warehouses, pharmacies, and any business that manages physical goods.
Online or internal booking systems for clinics, salons, hotels, conference rooms, or any service that runs on appointments. Includes calendar views, reminders, and availability management.
Calculate salaries, deductions, and allowances automatically. Manage employee records, leave requests, and generate payslips — without the spreadsheet headaches.
A lightweight POS system for retail businesses — process sales, print receipts, track daily revenue, and manage product catalogues. Works on desktop and can be adapted for low-bandwidth environments.
Student records, enrolment, attendance tracking, grade entry, and report card generation. Designed for schools that need a reliable system without the cost of enterprise software.
Something specific to your workflow that doesn't fit a template? We build it. From request tracking to approval workflows to data entry portals — if you can describe it, we can build it.
A collaborative, structured build from first conversation to go-live.
We sit down with you — in person or remotely — to understand your business, your current workflow, and exactly what the system needs to do. We document every feature, user role, and edge case so both parties are aligned before a line of code is written.
We send you a clear scope document with a cost breakdown and timeline. Once you're happy with it, we agree on payment terms and get started. No scope creep surprises — anything outside the agreed spec is quoted separately.
We design the database schema and overall system architecture before building. We share this with you for review — it's easier to catch a structural mistake on paper than to fix it halfway through the build.
We build the system module by module, sharing progress as each section is completed. Every feature is tested against the requirements before we hand it to you for review.
You test the system in a staging environment and report any issues or adjustments. We work through the agreed revision rounds until everything behaves exactly as specified.
We deploy the system to your environment, set up user accounts, and train your team on how to use it. You receive documentation, source code, and a post-launch support window to handle anything that comes up in real use.
System builds are scoped per project. These tiers give you a starting point.
For small businesses that need a single-module system — a basic inventory tracker, a simple booking form, or a staff records tool.
For businesses that need a multi-module system — inventory plus sales, bookings plus staff records, or a full POS with reporting.
For large organisations or complex requirements — multi-branch systems, API integrations, high user volumes, or systems that need to scale across departments.
All prices are in Ugandan Shillings (UGX). A 50% deposit is required to begin work, with the remaining balance due on delivery. System builds are scoped individually — the tiers above are starting points. Select "Consultation" for a detailed quote based on your exact requirements.
Tell us what your business needs and we'll put together a proposal.
Describe your business, what you're currently doing manually or with spreadsheets, and what you'd like a system to handle. The more detail, the better our quote.

Most systems we build are web-based — they run in a browser and can be accessed from any device on your network. Desktop applications are also possible depending on your requirements. We'll recommend the right approach for your situation.
Not necessarily. We can build systems that run on a local server within your office network, so they work without internet access. If you need remote access, we can set that up as well.
Yes. We build systems with future extensions in mind. Adding new modules or features after launch is straightforward and quoted separately based on the scope of the addition.
Every system comes with a post-launch support window for bug fixes at no extra cost. After that, ongoing support is available on a retainer or case-by-case basis. We stand behind what we build.
Yes. Training your team is part of every system build. We run a hands-on walkthrough with the people who will use it day-to-day and provide written documentation they can refer back to.
